ClientHub AI ("we", "us", or "our") operates a WhatsApp AI bot platform. This Privacy Policy explains how we collect, use, and protect your information when you use our service. By using ClientHub AI, you agree to this policy.

We collect information you provide directly to us, including:

  • Account info: name, email address, business name, and business type
  • Business data: inventory items, product descriptions, pricing information
  • WhatsApp credentials (Premium): Phone Number ID and Access Token from Meta
  • Customer data via your bot: phone numbers, names, and conversation history

We do not collect payment information directly. Premium plan billing is handled separately and communicated case by case.

  • To display your inventory and respond to customer queries via AI
  • To capture and manage leads in your dashboard
  • To send platform-related communications (important updates, security alerts)
  • To improve and debug our services

Customer Data (Your End-Users)

When customers message your bot, we collect their WhatsApp phone number, name (if provided), and conversation messages. This data is stored in your account and is accessible only to you.

You are responsible for your customers' data and should have their consent to process it through your WhatsApp bot. You must comply with applicable data protection laws in your jurisdiction.

Data Sharing

We do not sell your data. We share data only with these trusted third parties to operate the service:

  • Google (Gemini AI): Customer messages are sent to generate AI replies
  • Meta (WhatsApp Cloud API): To send and receive WhatsApp messages
  • MongoDB Atlas: For secure encrypted database storage

Data Security

We use industry-standard security measures including:

  • Encrypted HTTPS connections for all data in transit
  • bcrypt hashed passwords — we never store plain text passwords
  • Secure session management with signed cookies
  • Rate limiting to prevent brute-force attacks
  • Input sanitization to prevent NoSQL injection

No method of transmission over the Internet is 100% secure. While we strive to protect your data, we cannot guarantee absolute security.

Data Retention

We retain your account data as long as your account is active. Conversation history and lead data is retained to provide our service. You may request deletion of your account and all associated data by contacting us — we will process deletion requests within 30 days.

You have the following rights regarding your personal data:

  • Access: Request a copy of the data we hold about you
  • Correction: Update inaccurate or incomplete data
  • Deletion: Request your account and data be permanently deleted
  • Portability: Request your lead and inventory data in a portable format

WhatsApp Policy Compliance

Our platform uses the WhatsApp Business Cloud API in compliance with Meta's policies. By using ClientHub AI, you agree to:

  • Only send messages to users who have opted in to receive communications
  • Comply with Meta's WhatsApp Business Policy and Acceptable Use Policy
  • Not use the platform for spam, bulk messaging, or prohibited content

We may update this Privacy Policy from time to time. We will notify you of significant changes by posting the new policy on this page with an updated date. Continued use of the service after changes constitutes acceptance of the updated policy.
